Privacy Policy

LogiManage("we", "us", "our") respects your privacy. This policy explains what personal information we collect, how we use it, and the choices you have.
1. Information we collect
- Account information — name, email, company, role, phone.
- Operational data — driver profiles, licences, vehicle records, schedules, forms and documents you upload.
- Usage data — pages viewed, actions taken, device/browser information, timestamps.
- Location data — where features depend on it (e.g. geofenced trigger forms). Drivers are always told when location is being captured.
- Meeting minutes — when you use the Meetings feature to take live minutes, your microphone (and, where you switch it on, the sound from your meeting app so remote participants are included) is captured to produce a written transcript. The audio is processed on your device and is not uploaded or stored — only the text transcript is saved. Where voice identification is enabled, a voiceprint (a numerical signature of a person's voice, a form of biometric information) may be stored to recognise returning speakers.
2. How we use it
- To provide the service you've subscribed to.
- To send transactional emails (password resets, invites, compliance notifications).
- To improve the product, with aggregated/anonymised data where possible.
- To meet our legal obligations and enforce our terms.
3. Who we share with
We share your information only with the subprocessors required to deliver the service — hosting (Supabase / AWS), email delivery (Resend), error monitoring. We do not sell personal information.
4. Data retention
Active tenants' data is retained while the subscription is active. If the subscription ends, data is retained for 30 days to allow reactivation, then deleted on request or as part of our routine purge.
5. Your rights
You can access, correct or delete your personal information at any time from within the app. You can also email us at privacy@logimanage.com.au to make a request.
6. Security
All data is encrypted in transit (TLS) and at rest. Access is scoped per tenant — a company can only see its own data. Developer access to production is role-gated and audit-logged.
7. Meeting minutes and voice identification
The Meetings feature takes live minutes by transcribing what is said. How it works and what is stored:
- Audio stays on your device. Speech is turned into text in your browser. The audio itself is never uploaded to us or stored — only the written transcript, and the notes and action points you create from it, are saved.
- Remote participants and other locations.A meeting may include people joining from another application (for example Microsoft Teams or Zoom), including a group of people together in a different room. When you choose to capture your meeting app's sound, what is said at the other end — by anyone, in any location — is transcribed as well.
- Voice identification (optional).If you switch it on, a voiceprint — a numerical signature of a person's voice, a form of biometric information — may be created to suggest who is speaking. A lasting voiceprint is only kept for people you identify by tagging them to a staff member. We recommend leaving voice identification off for meetings with external participants or other locations, where you may not be able to identify everyone.
- Your responsibility as the organiser. The company running the meeting is responsible for making sure everyone taking part — in every location, including people you may not know individually — is told the meeting is being recorded and transcribed, and for obtaining any consent required by law. Recording-consent rules differ between Australian states and other countries; where people take part from more than one place, more than one set of rules may apply.
8. Changes to this policy
We'll post material changes here and, where appropriate, prompt you to re-agree in-app.
9. Cookies and browser storage
We do not set tracking cookies. Your authenticated session token and your interface preferences (such as sidebar order, table filters and view toggles) are stored in your browser's local storage so the app remembers your settings between visits. We do not use third-party analytics, advertising pixels or cross-site tracking tools. If we add optional analytics in the future, you will be asked to opt in first.
